Events & Multi Skills Administrator

(12 months Maternity Cover) - starting ASAP. Interviews happening very soon!
38 hours per week split between the office and track side Tuesdays, Thursdays and Saturdays.

£18,000 pa

Job Purpose
To ensure of the smooth running of Track Academy’s events and multi skills programme is in line with policies and standing operation procedures guidelines. To keep data on views up-to-date and to assist and support the Fundraising Consultants has all relevant information they need on views at all times.

• To provide administration support to all Track Academy’s team
• To assist with data inputting of attendance, signing in registers, events, workshops onto VIEWS database
• to assist with collection of questionnaire data from members and input answers into VIEWS database
• To coordinate the multi skills training programme and making sure coach cover are provided at all times
• Assist the Education and Mentoring Administrator to collect GCSE results
• To manage, track and create the summer holidays and half term programme and ensure all student athletes are informed and well attended
• Ability to work with children
• Office, administration and recruiting abilities

Key Accountabilities
• Data input into VIEWS database (training will be given)
• Work with project coordinators to collect attendance signing in sheets at the Track and input data onto VIEWS
• Gather session attendance/ activity/ taster session stats & event sheets and input data onto VIEWS every week
• Ensure that all sessions and activities are updated on VIEWS every week and that VIEWS is up to date
• Work with project coordinators to support members to complete annual questionnaire and ensure data is input into VIEWS in a timely manner
• Work with Education and Mentor Administrator to update VIEWS with mentoring, risk register and education data every week
• Produce statistical summaries from VIEWS for discussion at team meetings or when requested by Project Coordinators or Director
• Attend VIEWS training webinars or other training provided by VIEWS to ensure efficient use of the system

Daily and Weekly Responsibilities
• Organising any half term activities
• Organise indoor and outdoor competitions
• Organise monthly workshops
• Input data from any workshop/taster session/activity or trip on to views and the google doc
• Liaise with Primary schools to book taster sessions.
• Ensure Social Media platforms are updated
• Family Mile PB
• Mentoring Dinners

• Make sure numbers up for both Multi Skills and Jnr Multi Skills
• Organise Taster Sessions for Multi Skills in Primary Schools
• Ensure coaches are available for both track sessions and Taster sessions
• Input all attendees on to views and google doc
• Ensure all parents know when payment is due
• Ensure Social Media platforms are updated
• Work with education and mentoring team to organise workshops for multi-skills

Additional Responsibilities
• Monthly Newsletter
• TAAG Meeting every 6 months
• Education and Mentoring Inputting – Mentors attendance, one to one mentoring, macro
• mentoring etc.
• Recruitment for taster session coaches
• Assist in collating exam results and the end of the summer term
